What personal information Apeiro IQ collects, how we use and share it, and how to use your choices and rights. We do not sell personal information.
1. Who we are and what this covers
Apeiro IQ is a product of Wilkinson Impact, a business run by Tim Wilkinson in Crowley, Texas (“we”, “us”, “our”). This Privacy Policy explains what personal information we collect, how we use and share it, and the choices you have. It covers apeiroiq.com, app.apeiroiq.com, docs.apeiroiq.com, and our own emails, calls and texts.
Two roles. For visitors to our website and for our customers’ Account details, we decide how information is used, and this policy applies. For the contacts our customers keep in their Workspaces (their End Contacts), we process information for our customer, and our customer’s own privacy policy applies; see section 11.
2. Information we collect
Information you give us
- Name, email address, phone number and business name, for example when you book a call, join the waitlist, sign up or contact support.
- Whether you agreed to receive text messages, and when and how you agreed.
- Billing details. Card numbers are collected and held by our payment processor; we see only limited details, such as the card type and last four digits.
- What you tell us in calls, emails, texts and support requests.
Information collected automatically
- IP address, device type, browser type, language and the page that referred you.
- Pages you view on our websites and actions you take in the app, such as logins and settings changes.
- Security and error logs.
- Cookies and similar technologies; see section 7.
Information from others
- Payment status from our payment processor.
- Delivery and opt-out reports from phone and text carriers and email delivery providers.
- Information from accounts you connect to the app, such as Google Calendar or Gmail, as described in section 6.
Calls, recordings and transcripts
If you call us, or if a customer turns on call recording or AI call answering in their Workspace, the Service may record the call and create a transcript and summary. Calls to us that are recorded start with a notice.
3. How we use information
- To provide the Service: set up your Workspace, install your Business Systems, send messages you schedule, and answer support.
- To bill you and prevent fraud.
- To send account and service messages, such as receipts, renewal and price-change notices, security alerts and appointment reminders.
- To send marketing about Apeiro IQ, only where you have agreed or the law allows. You can opt out at any time.
- To run AI Features you turn on. The content needed for a task, such as the text of a conversation, is sent to an AI model provider to produce the answer, draft or summary.
- To keep the Service secure, fix problems and improve it, using data that is combined or does not identify you where we can.
- To follow the law and protect our rights.
AI training. We do not use Customer Data to train AI models ourselves. AI Features can use models from several AI model providers, and the models available can change at any time. We do not control how AI model providers handle data. Each provider’s own terms decide whether it keeps data, for how long, where it processes it, and whether it may use it to train its models, and a provider can change those terms. Where a provider or our software platform offers a setting that stops our customers’ data from being used for training, we turn that setting on by default. To the fullest extent the law allows, we are not responsible for how a provider uses data under its own terms; see “Service providers and connected tools” in our Terms.
4. How we share information
We do not sell personal information. We share it only:
- With service providers that run the Service for us, by category: hosting and software platform, email delivery, SMS and voice carriers, payment processing, AI model providers, content delivery network, and DNS and email forwarding. They may use it only to provide their service to us, except that our payment processor also uses transaction data to prevent fraud, including to train its own fraud-prevention models. See the Service Providers page.
- Inside your Workspace, with the Authorized Users the Account owner invites.
- For legal reasons, when the law, a court order or a government request requires it, or to protect people, our rights or the Service.
- In a business transfer, such as a sale or reorganization of the business. We will tell you before your information becomes subject to a different privacy policy.
- With your consent or at your direction.
5. Text messaging and mobile information
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text-messaging opt-in data and consent are never sold, rented or shared with third parties. The only exception is service providers that operate the text-messaging service for us, such as phone carriers and messaging platforms, and only so that messages can be delivered.
See the SMS Terms for how our text program works and how to opt out.
6. If you connect a Google account
You can connect a Google account to the app: Google Calendar, to show your open times and add bookings, and Gmail, to send and receive email from the app and keep those emails with your contacts. We use the information from that account only to provide the features you turn on. Our use of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements. We do not sell that information, use it for advertising, use it to train AI models, or let people read it except with your permission, for security, or where the law requires. You can disconnect a Google account at any time in the app or in your Google account settings.
7. Cookies and similar technologies
Cookies are small files a website stores in your browser. We use:
- Strictly necessary cookies that keep you logged in to the app, protect the site from bots and attacks, and balance traffic. The site does not work properly without them.
- Preference cookies that remember choices such as your language.
- Analytics that count visits, show which pages are used and which ads or links brought you to us. These include our software platform’s own visitor tracking and a tag manager that loads the other tools on this list.
- Advertising pixels from social media and search advertising networks. They tell those networks that you visited our site or filled in a form, so we can measure our ads and show our ads to you and to people like you on other sites. This can count as “targeted advertising” or “sharing” under some state privacy laws.
Opting out of targeted advertising. You can opt out of targeted advertising by emailing support@apeiroiq.com or by using your browser’s settings or a Global Privacy Control signal, described below. You can also change your ad settings with each advertising network.
You can block or delete cookies in your browser settings. Blocking strictly necessary cookies can stop the app from working. If your browser sends a Global Privacy Control signal, we treat it as a request to opt out of the sale of personal information and of targeted advertising.
8. How long we keep information
- Account information: while your Account is active, and for 30 days after it ends so you can return or export your data.
- Billing records and invoices: 7 years, for tax and accounting.
- Text-message consent and opt-out records: as long as we may need to prove consent or an opt-out.
- Website form entries, such as a booked call or the waitlist: until you ask us to delete them or they are no longer needed.
- Customer Data in a Workspace: as the customer directs, and as described in Data after your plan ends in our Terms.
When we no longer need information, we delete it or remove what identifies you.
9. Security
We use reasonable safeguards, including encrypted connections, access controls and limited staff access. No system is perfectly secure. If a breach affects your personal information, we will notify you as the law requires.
10. Your choices and rights
Choices everyone has
- Email: click “unsubscribe” in any marketing email. Service messages, such as receipts and security alerts, continue while you have an Account.
- Text messages: reply STOP to any text from us.
Privacy rights
Depending on where you live, including Texas and California, you may have the right to:
- know whether we process your personal information and get a copy of it;
- correct it;
- delete it;
- get it in a portable format;
- opt out of the sale of personal information, targeted advertising and profiling that has legal or similar effects; and
- not be treated differently for using these rights.
We do not sell personal information and do not use it for targeted advertising. We do not knowingly process sensitive personal information, such as health or precise location data, without your consent.
How to make a request
Email support@apeiroiq.com with “Privacy request” in the subject line. We will confirm your identity using information we already have, and we answer within 45 days. If we need more time, we will tell you, and we may take up to 45 more days. You may use an authorized agent, and we may ask the agent for proof that you gave them permission.
Appeals
If we decline your request, you can appeal by replying to our answer or emailing support@apeiroiq.com with “Privacy appeal” in the subject line. We decide appeals within 60 days and explain our decision. If you are a Texas resident and are not satisfied, you can contact the Texas Attorney General at texasattorneygeneral.gov.
11. If a business contacted you through Apeiro IQ
Our customers use Apeiro IQ to keep in touch with their own leads and clients. If one of them texted, called or emailed you, that business controls your information, and its privacy policy applies. Please send requests to that business. If you send your request to us, we will pass it on to the business and help it respond. To stop texts from that business, reply STOP to its message.
12. Children
The Service is for adults 18 and older. We do not knowingly collect personal information from children under 13. If you believe we have, email support@apeiroiq.com and we will delete it.
13. Where information is processed
We are based in Texas, United States. Information is processed and stored in the United States, and some of our service providers may process it in other countries under their own safeguards.
14. Changes to this policy
We may update this policy. We will change the date at the top, and for material changes we will email Account owners or show a notice on the website before the change takes effect.
